Signature settings allows you to fine-tune the signature workflow when sending a document for signature.
Accessing signature settings
You can access the signature settings from the recipe by clicking Signature settings:
Signature settings
The Signature settings dialog shows the following options:
Signing order
The signing order only matters if you have two or more signers.
- Parallel signing means all signers will receive the document at around the same time and each signer can sign without waiting for other signers.
- Sequential signing means each signer will only receive the document once the previous signer has signed it. You can define the signing order by dragging and dropping signers:
Only send when every signer's email is found will prevent the document from going out for signature if any signer is missing. In the above screenshot,
- If Only send... is checked, documents will not go out for signature if the primary company has no billing contact or the contact has no email address or the deal owner has no manager defined in HubSpot.
- If Only send... is unchecked, documents will go out for signature even if one or more of those signer details are missing.
Sender notifications
Sender notifications are internal email notifications to the user when the document is sent, opened, signed, declined, and/or expired.
For example, if user Michael Scott checks the box Is opened by a signer and sends a document to three signers, Michael will receive up to three email notifications, one when each signer opens the document.
Reminders and expiry
Remind signers every... will send email reminders to signers who haven't yet signed the document. These reminders will go out until the signer signs (or declines) the document or until the document expires, whichever is earlier.
Expire unsigned documents after... allows you to automatically withdraw a document if it hasn't been fully signed by all signers. For example, this would be useful if you're sending a proposal that has a validity of 30 days.
Message to signers
Customize the look & feel and the content of the email that goes out to signers. When you click Edit, you will see these options:
- Blind copy... will include the user sending the document in the bcc line of the email going to the signer.
-
CC and BCC allow you to add additional recipients in the cc or bcc lines of the email going to the signer. In this example, we typed a static email address (Michael Scott's) and we clicked + Property to include the Deal owner in the cc line.
-
Subject and Body are customizable using properties from the record. In the example below, we started typing {owner to display a list of properties and to select the deal owner's first name after "Dear".
-
Certificate of completion make it possible to send the certificate to the signer(s) once the document is fully signed:
-
Past-quota signatures -- when checked, DocuGen will not be constrained by your subscription plan's document limit. However, all documents you send beyond your plan limit will carry a "DocuGen" watermark.
