You can have DocuGen give a fixed name to your generated documents, or give them dynamic names using placeholders.
Note the special considerations related to document names at the bottom of this article.
If you are using a DocuGen item view, click on Settings > Template > Name your documents:
If you are using a DocuGen board view, go to Setup > Document design > Name your generated documents:
Static names
You can give all your documents the same name if you enter any string in the document name text box. For example, "My customer proposal":
This will name all your documents “My customer proposal".
Please do not use unsupported characters in the document name.
Dynamic names
You can use placeholders to give your documents names using information from your monday.com account, your board, or the user generating the document. For example:
This setting will result in document names that depend on the "Customer" column and the name of the user who generated the document. For example:
- Proposal for Top Roofing LLC from Tom Smith
- Proposal for Seattle's Best Brokers from Bill Duncan
Other examples:
- <<user_name>>‘s document from <<board_name>>
will give a result similar to this:
John Doe’s document from Invoices
(assuming the user name is "John Doe" and the board name is “Invoices”) - Invoice for <<column_firstrow:Item>> dated <<column_firstrow:Invoice Date>>
will give a result similar to this:
Invoice for Dell Technologies dated 20 Nov 2023
(assuming the name of the first row is “Dell Technologies” and there is a column “Invoice Date” on the board.)
Considerations related to document names:
- Document name length: Document names are limited to 160 characters; otherwise, you may get a corrupted document. Make sure the default document name is shorter than 160 characters. If you're using placeholders in your default document name, make sure that the values inserted when generating the document do not cause the document name to exceed 160 characters.
- Unsupported placeholders: Tabular placeholders (<<table>>, <<table_body>>, <<subitems>>, <<subitems_body>>, etc.) are not supported in dynamic document names.
- Unsupported characters: Do not use the following unsupported characters in the document name. Also, if you are using placeholders in the default document name, make sure the placeholders do not result in such characters being inserted in the document name.
