A document 'recipe' is the templates and settings that DocuGen uses to generate or request signatures for documents. For example, you might have an invoice recipe that includes an invoice template and a document for terms and conditions. When the recipe runs, it will populate the invoice with information from your HubSpot account and will generate the final invoice for you (and possibly send it for signature.)
You can create documents starting from your own Word or Excel documents or from scratch.
-
In the DocuGen card, click on Create document recipe... from the Preview document or Generate document button:
-
The Create document recipe side panel will open up:
- Fill out the recipe:
- Recipe name is the name you give to the recipe. For example, Invoice
- Select template allows you to upload or create document templates. More below.
- Signature settings applies if you intend to request signatures on the generated document.
- Delivery options allow you to specify the format of documents to be generated (PDF and/or Word), and whether you want the generated document to be sent by email to the Deal owner. All generated documents are saved by default to the Attachments card, that's why this option is checked and cannot be unchecked.
-
Click Select template; this will open up the template gallery. You have several options:
- Start from a deal template allows you to use a template from our gallery. These templates are ready to use.
- Upload a template allows you to upload a Word or Excel file of your own
- Start from scratch allows you to create a new Word or Excel document inside our editor
-
For example, click the Invoice template from the gallery. This will load the Live editor:
-
Edit the template as you see fit. To insert HubSpot properties into your document, position your cursor where you would like to insert the property and double-click on the selected property from the right side panel. Learn more about how to find and use HubSpot properties.
-
Click on the Settings button (upper left corner) to set the following:
a. Name your documents is the name that DocuGen will give to generated documents. You can use properties by typing { and scrolling to the desired property.
b. Document format allows you to generate either a PDF or Word document. If your template is Excel, you can only generate an Excel file output.
- If you want to send the generated document for signature, you should also add signature placeholders. Learn more here.
-
You can click Preview to see how your document will look like using the data from the current deal:
- You can go back-and-forth between Editor and Preview modes. Once you are satisfied with the template, click Save and close at the top right.
- Once you're back to the recipe, you can see your template:
- Edit allows you to edit it again at any time
- Remove will remove the template altogether
-
You can download the template by clicking on its name
- You can add up to five templates. If you have two or more templates, you will see an option to merge the generated documents into one PDF. This feature is handy if you have multiple templates but would like to have a single combined document created by DocuGen. If you select this option, you have two more settings available:
- Merged document name allows you to set the name of the final merged document
-
Up and down arrows on each template allow you to specify in which order the documents should be merged. In the screenshot below, the Invoice document will appear first.
-
Finally, set the Delivery options and click Save:
-
Congratulations! The new "Invoice" recipe is now available for your users when they click on the Preview document (or Generate document) button on the DocuGen card:
