You can send documents for signature by customers, suppliers, and other third-parties using DocuGen.
DocuGen offers multiple signature capabilities:
- You can send to one or more signers
- When sending to multiple signers, you can specify if you want a specific signing order
- Signers can be external (HubSpot contacts) or internal (HubSpot users)
- Signed documents are secured with tamper-evident digital seal and evidenced by a completion certificate that DocuGen generates once all signers have signed
- The signature process is tracked from start to finish
- You can set reminders and an expiration limit for unsigned documents
Step 1: Create a recipe
Let's say you would like to set up a non-disclosure agreement (a legal document) that you can send to customers from your Deal records. The steps here apply to all HubSpot objects supported by DocuGen.
- Create a recipe; let's call it "Customer NDA"
- On the recipe, click Select template and add your NDA template or use our built-in Mutual non-disclosure agreement from the template gallery
- In the Live editor, you can populate the template with HubSpot properties to make it more personalized
Step 2: Add signers
-
Still in the Live editor from step 1, expand the Signature accordion at the bottom right and click Add signer to add your first signer:
-
The Add signer dialog offers multiple options:
- Specific email address allows you to enter an email address that will always receive the document for signature. For example, you can use this if your documents must always be signed off internally by a manager before going to the customer.
- Deal allows you to enter a signer associated with the deal, either the deal owner or their manager. Note that these are internal HubSpot users.
- Primary company allows you to enter a signer associated with the primary company on the Deal. Options include the primary company's billing contact or the company's owner (internal user).
- Contact, Primary quote, and Ticket options offer signers (users or contacts) associated with those records.
-
In our example, we will add two signers: the deal owner's manager, followed by the billing contact on the primary company. Here are the Add signer dialog box for adding each signer:
Signer 1: Deal owner's manager Signer 2: Billing contact on primary company Here is how the signature accordion looks after adding both signers:
Step 3: Add signing fields
To add a signing field, position the cursor in the document and double-click on the field:
You can add each field multiple times inside the document. For example, you can apply the Initials field on every page or the Signature field on the first and last pages.
Learn more about signing fields here.
Here is how the signing fields look like with two signers:
Step 4: Preview the document
Click on Preview to see the document as it will appear to the signers:
You can also use the View as dropdown to see how the document will appear to each signer:
Step 5: Set signing options
Click Save and close to close the Live editor, then click on Signature settings on the recipe:
Signature settings allow you to fine-tune your signature workflow, such as the content of the emails going out to signers, the frequency of reminders, the expiry deadline, and other options. Find out more about signature settings here.
Once you're done, click Save to close the recipe.
Step 6: Use the new recipe
The recipe is now available for your users! Go to any Deal (or whatever object you used to created the recipe) and click on Preview document or Generate document in the DocuGen card:
